I. Opening
The meeting was opened at 2:30 p.m.
II. Conclave Review
Buxton gave a quick review of the conclave. He thanked everyone for their help and congratulated those present on taking home the Bald Eagle Award for the first time since 1995. Mayfield said that the next Section W-3B meeting will be held on Saturday, 5 January 2002.
III. Lodge Officer Nominations
Schoenthal moved to open nominations for lodge offices. This was seconded by Mattern. Alto nominated Joey Fini for Lodge Treasurer. He accepted the nomination. Schoenthal nominated O'Neill for Secretary. He declined. It was noted that nominations would close at the Lodge Dinner later in the evening.
IV. Spring Ordeal Date
Hannan said that he could no longer attend the Spring Ordeal at Navarro if
it continues to be held on the third weekend in June. It was also noted that
the date coincides with Fathers' Day as well as many high school commencement
ceremonies. This issue was first raised at the Executive Board meeting in July,
when it was proposed to put the issue before the lodge to decide whether to
change the date or not. Schoenthal suggested that a section be put on the ballot
that allowed lodge members to voice their opinion on the issue. This was later
amended to only Cabrosha Chapter members, as the ordeal is held for these members.
After consulting the Redwood Empire Council calendar, the feasibility of changing
the date for 2002 was questioned, and it was decided to enact the change, if
any, beginning in 2003. For 2002, the Spring Ordeal at Navarro will be held
on the third weekend in June (June 21-23). In addition, a work party will be
held at the camp on 13 April 2002 to help get the camp ready before outside
groups begin to rent the facility. After discussing several possible alternative
dates for the ordeal, the Executive Board decided that the fourth weekend in
April would be the best time to hold it, as it will not coincide with Easter.
It was decided to suggest this date to the Cabrosha chapter members before they
vote at the dinner.
While on this subject, it was brought up that the work party to be held in April could also double as the fellowship weekend. It was also noted that traditionally, the fellowship weekend has been held at Camp Noyo and has been relatively free from work. For various reasons, it has not been feasible to hold the fellowship weekend at Camp Noyo in March (see previous meeting minutes for more information about this issue). Other ideas were suggested, including holding the weekend at Camp Winte or Camp Royaneh. Chris Schoenthal and Curtis Aultman volunteered to serve on a Fellowship Weekend Committee and research the options of date and location. They will report their findings at a later board meeting.
V. Chenille
The lodge's order of 81 chenilles from Krelman Co. has arrived. They will
be distributed at the dinner later in the evening.
-Prototype
Buxton presented the prototype of the chenille to the committee. The only difference between it and the regular issue is that a black band encircles the design instead of a blue band. Mayfield said that Krelman will charge the lodge $100 for the chenille if it was not returned, as it is a unique item. After discussion, the board decided to officially designate the patch a prototype and not an official lodge issue. It was also decided to auction the chenille at the lodge dinner. If no bids should be entered greater than $100, it was to be cut and returned to Krelman. [Greg Hannan later entered the winning bid of $170.]
-Numbering
The board agreed that all chenilles should be numbered on the reverse in indelible ink and that the number should read "n / 81."
-Possible Second Order
Buxton said that several persons had asked him whether the lodge was planning another order of chenilles. He presented the issue to the board, but it was decided that at this time, no more chenilles would be ordered, as lodge members had ample time to purchase them. The deadline was pushed back twice and order forms appeared in two newsletters. It was also decided to retain the extra seven chenilles for a later time, possibly as awards or as items for an auction.
VI. NOAC 2002
The 2002 National Order of the Arrow Conference will be held 27 July-1 August 2002 at Bloomington, Indiana. The cost for the event is $305 for both youth and adult participants, plus travel expenses. Total costs for the trip were estimated at about $750. The lodge's participant quota is ten youth and four adult attendees. It was decided to post a sign-up sheet at the lodge dinner. The next newsletter will contain more information about the event.
VII. Lodge Budget 2002
It was decided that the Key 3 will present a tentative budget at the 12 January 2002 Lodge Executive Board meeting.
VIII. New Business
-Arrowman Service Award
Mayfield brought a sample award and it will be shown at the dinner. Buxton said that applications for the award will be accepted at the dinner until the end of the year. He also noted that the award continues for 2002 and 2003, with a different color each year.
-Treasurer's Report
Joey Fini reported that the lodge had $5,290 in its account as of 17 November.
At the time of the presentation, it was unclear if this amount included the
debt still owed to Mayfield. Later, it was surmised that, most likely, it does
include the debt, and the lodge actually has more cash than the above fig'hpWBn
